Introduction

Mysa offers multiple convenient ways to upload your bills. Whether you prefer working directly on the dashboard, forwarding emails, or using Slack, our platform provides flexibility to accommodate your workflow. This guide walks you through each method and offers troubleshooting tips for common issues.

Methods to Upload Bills

You can upload bills to Mysa through three different channels:

1. Mysa Dashboard

2. Email

3. Slackbot

Method 1: Uploading via Mysa Dashboard

1. Log in to your Mysa account and go to the Dashboard

2. Navigate to the "Bills" section

3. Click on "Add Bill" or simply drag and drop your file anywhere on the screen

  1. Once uploaded, the powerful Mysa Smart Scan automatically populates all the fields from the uploaded bill. All you need to do is review and submit.

Method 2: Uploading via Email

1. Forward your bill to <you comapny>@invoice.mysa.io. You can find this on the top right of the screen besides the +Add Bill button

2. The bill will appear in your Drafts section on the Mysa Dashboard

3. Review the auto-extracted information

4. Complete any missing fields if the OCR scan couldn't extract all details

5. Submit the bill from your Drafts

Open Slack and navigate to the Mysa Slackbot. You can upload your invoice here just like sending a regular message. Once the file is uploaded, the Slackbot will confirm that Mysa Smart Scan is in progress. This may take up to 45 seconds to 1 minute. 

Method 3: Uploading via Slackbot

  1. Open Slack and navigate to the Mysa Slackbot

  2. Upload your invoice as you would send a regular message

  3. Wait for Mysa Smart Scan to process (approximately 45-60 seconds)Once the file is uploaded, the Slackbot will confirm that Mysa Smart Scan is in progress.

  4. Review the extracted details provided in the response

  5. Once the scan is complete, you’ll receive a response summarizing the extracted details. At this point, you have three options:

    1. Open in Mysa – Click the link to open the invoice on the Mysa platform and complete the submission process.

    2. Discard – Choose to discard the invoice if it doesn’t need to be submitted.

    3. Edit & Submit via Slack – Make edits directly within Slack. You can update fields such as the due date, select the correct Mysa category (e.g., Capital Assets), and adjust any other details as needed. Once reviewed, click Send to submit.

  6. Verify your upload by checking the "My Uploads" section on the Mysa Dashboard

Tracking Your Uploads

After submission, you can track the status of your bills in the "My Uploads" section of the Mysa Dashboard. This allows you to monitor their progress through review and payment stages.

Understanding Flags and Errors

Mysa automatically flags potential issues with your uploads:

- Duplicate: Invoice already exists in the system

- Foreign Payment: Invoice contains a non-INR amount

- Previously Rejected: Invoice was rejected in the past

These flags help prevent duplicate payments and highlight bills that may need special attention.

Troubleshooting Tips

  • OCR Failure: If Mysa Smart Scan fails to extract data, manually enter the details to proceed

  • Draft Cleanup: Regularly review your Drafts section and remove unwanted items

  • Verification: Always check the "My Uploads" section after submitting through Slack or email to confirm successful processing

  • File Format Issues: If your upload fails, try converting the document to PDF format
