Overview

This guide walks you through all the essential features of the Vendor Master view, from basic navigation to viewing vendor ledger. We've structured the information in a way that both new users and experienced administrators can quickly find the answers they need to manage vendors efficiently.

Navigating Your Vendor Directory

Table View

  • Access: Find the Vendor directory by clicking on "Vendors" in your main navigation menu

  • Overview: See all your vendors at a glance with key information displayed in organised columns

  • View Inactive Vendors: All the vendors that have been deactivated will be in the inactive tab. You can activate an inactive vendor and they will be available in the list of active vendors (See How to Activate/deactivate a vendor)

    Column

    Description

    Vendor

    This is the display name of the vendor

    Category

    These are the Mysa Category assigned to the vendor while adding them to Mysa. If more than 1 Mysa Category has been assigned then the column value will be 'Multiple'

    GSTIN

    Vendor GSTIN 

    PAN

    Vendor PAN

    This month's spend

    Total of all the successfull payments done against this vendor 

    All vendors that are MSME vendors will have an MSME tag besides them.

💡Pro tip: You can customise which columns appear in your view by clicking the "Configure Columns " icon on extreme right of the table header. You also move any column lift or right to customise the table view as per your needs.

Here you will get to the list of all the columns in this section and you can choose to show and hide the columns as per your requirements.

Sorting vendors

By default the vendors are sorted alphabetically in ascending order. Click on Vendor column header twice to sort vendors in descending order and the click the third time to reset to the default order.

Filtering Vendors

Mysa's powerful filtering capabilites allows to you quickly filter out vendors based on their

  • Name

  • MSME tag

  • Udyam Number

  • PAN

  • GSTIN

Vendor Management: Detailed View and Actions

Accessing Vendor Details

You can access comprehensive vendor information by clicking on any vendor row in the vendors tab. This action opens a side panel displaying all details related to that vendor, including:

ERP mapping status

The vendor mapping status appears on the top of the side view below the vendor name. If the vendor is not mapped, they can be easily mapped by clicking on the 'Create' button.

Vendor Bank accounts

All vendor bank accounts, active and inactive, are visible in the vendor details view (side view). Apart from this one can

  • Add new vendor bank accounts

  • Activate or deactivate vendor bank accounts

  • Verify unverified bank accounts

Vendor details

  • All the vendor details such as Display name, email ID, phone number, GSTIN, PAN, Legal address can be found here.

  • If the vendor GSTIN and PAN is not added then you will an have option add GSTIN and PAN from the vendor detail view.

  • Detail such as Name, Email, Phone, and Legal Address are editable ans can be done by clicking on edit.

MSME status

If the vendor is an MSME (Micro, Small, or Medium Enterprise),the details are available in the detail view.

  • Udyam Registration Number

  • MSME Size

  • Name

  • Year of Updation

If the vendor is not marked as MSME, they can be marked as MSME from the detail view. Steps to Mark the vendor as MSME here

List of POCs (Points of Contact)

The list of all the vendor POC can be viewed from the details view. Alternatively, there is an option to add a new POC as well. There can be a maximum of 5 vendor POC added for the vendor.

A Vendor POC can be:

  • An internal team member managing vendor relations

  • An external vendor representative

Supporting Documents

View and add supporting documents for a vendor like TDS certificate, vendor contract, MSME certificate and any other vendor related documents.
Maximum of 4 supporting documents can be added per vendor.

Viewing Vendor Ledger

To access the vendor's financial statement:

1. Navigate to the Vendors tab

2. Select the specific vendor

3. In the side panel, click on the Statement tab

4. Review the ledger information which includes:

  • Transaction date

  • ID reference

  • Type of entry

  • Amount

  • Balance due

Note: Clicking on any ID in the ledger will open the corresponding bill details in a new tab.

To view all bills and payments associated with a vendor:

1. In the Statements tab, click on the three-dot menu (⋮) in the top right corner

2. Select the appropriate option from the dropdown menu

FAQs

I am not able to edit Vendor GSTIN

We do not allow editing of Vednor GSTIN or PAN. IN order to to update the Vendor GSTIN follow the steps below

  1. Add a new vendor with new GST in Mysa - Name it VendorName New

  2. Deactivate old vendor and rename it as (Vendor Name)_Old

  3. Map the new vendor to correct vendor in Zoho ( with updated GST) using mapping in Accounting settings

  4. For Tally, please get in touch the support and they will help map the vendor in Tally.
